Keep Ownership Clear

Every important activity should have one named person responsible, supported by others where needed.

Make sure the team knows:

• Who is the main local contact
• Who confirms each session
• Who manages member communications
• Who can step in when someone is unavailable

Shared effort is healthy. Unclear responsibility is not.

Use a Simple Weekly Check

Before the week begins, confirm:

• Sessions, leaders and volunteer cover
• Any route, time or meeting-point changes
• What members need to be told
• Any unresolved issue that requires follow-up

Keep routine coordination in the leaders’ WhatsApp channel. Record only decisions or information that needs to be retained.

Keep Information Tidy

Use the agreed SRC systems and keep access limited to people who genuinely need it.

• Do not create unofficial member databases or mailing lists.
• Do not store sensitive personal, medical or safeguarding information in personal notes or group chats.
